This policy explains how we collect, use, store, and protect personal information in compliance with the Protection of Personal Information Act 4 of 2013 (POPIA).

2. What Personal Information We Collect
2.1 Client Company Representatives
- Full name and job title
- Business email address and contact number
- Company name and registration details
- Billing information (invoice details — we do not store card numbers)
2.2 Platform Users (Fleet Managers, Dispatchers)
- Full name and business email
- Contact number
- Login credentials (passwords hashed — never stored in plain text)
- Activity logs (login times, actions performed)
2.3 Drivers
- Full name and South African identity number
- Contact number and email address
- Professional Driving Permit (PrDP) details and expiry date
- Driver's licence details
- Employment information relevant to fleet management
2.4 Website Visitors
- Name and email (if you submit a contact or demo request form)
- General usage data via standard web analytics
2.5 Support Communications
- Your name and email address
- Content of your communication and any attachments
3. Why We Collect Personal Information
We process personal information for the following purposes and on the following lawful bases under POPIA:

We do not use personal information for selling to third parties, unsolicited marketing without consent, or automated decision-making that produces legal effects on individuals.
4. How We Store and Protect Your Information
We implement the following security measures:
- All data transmitted over HTTPS (TLS encryption)
- Data at rest encrypted by our hosting and database providers
- Passwords stored using bcrypt hashing — never in plain text
- Role-based access controls within the platform
- Real-time error monitoring via Sentry
- Automated daily database backups
Data is stored on servers hosted by our sub-processors (see section 6). Some servers are located outside South Africa (primarily in the United States). We ensure these providers maintain data protection standards equivalent to POPIA.

We do not sell personal information. We share it only with the following sub-processors for platform operation:

7. Your Rights Under POPIA
As a data subject under POPIA, you have the following rights:
Right of Access
Request confirmation of whether we hold information about you and obtain a copy (POPIA s.23).
Right to Correction
Request correction of inaccurate, misleading, or incomplete information (POPIA s.24).
Right to Deletion
Request deletion of your information in certain circumstances (POPIA s.24).
Right to Object
Object to the processing of your information in certain circumstances (POPIA s.11(3)).
Right to Complain
Lodge a complaint with the Information Regulator if you believe your rights have been infringed.

8. Driver Personal Information
If you are a driver whose information has been uploaded to ForgeOps by your employer, your information is controlled by your employer (the "Responsible Party"). ForgeOps processes your information only on your employer's behalf for fleet management purposes. For queries about your information, contact your employer first. If you believe your information is being misused, contact us at hello@forgeops.co.za or the Information Regulator.
9. Cookies
The ForgeOps platform (appforgeops.co.za) uses only essential cookies required for authentication and session management. We do not use advertising or tracking cookies. Our marketing website (forgeops.co.za) may use standard analytics tools.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date, notify active Clients via email at least 30 days before the change takes effect, and post the updated policy here. Continued use of the platform after a policy update constitutes acceptance.
